Overview
On the Profile List page, you can export member data into an external spreadsheet. All exports in MC Professional are available to download as a CSV file on the Reporting > Exports page.
As an example, you may want to pull a complete list of member email addresses. To do so, you can navigate to the Profile List page, export all member profiles with the email attribute field selected, then download a CSV file on the Exports page. Then, in your spreadsheet you can view a list of all email addresses in your database. Continue reading for step-by-step instructions on how to export member data.
We've added a new export feature. Now, you have the option to include information about whether or not members are in their renewal period in a profile export. Continue reading for more information.
To export member data
1. Click Profile List in the top right corner of your administrator backend.
2. Tag the member profiles you want to export. To tag profiles individually, check off the box to the left of each member's name. You can also click TAG THIS PAGE to tag the entire visible page, or TAG ALL to tag each member profile in your current profile list. Your profile list may differ based on the search criteria specified above.
For more information, view our help center article on the profile list and advanced search feature.
3. Click the Actions menu in the bottom right corner of the page, then click Export Profiles. All tagged profiles are included in your profile export.
4. In the Export Profiles window, click the Select a saved attribute set or create a new set dropdown menu to determine which attributes you want to include in your export file.
The following default attribute sets are included in the dropdown menu:
- Create New or Ad Hoc: This option lets you select whichever attributes you'd like to include in your export. If selected, a dropdown menu that includes all attributes in your database displays. Check-off the attributes that you want to include in your export file.
- All Attributes: Exports all attributes found in your database.
- System Default: Includes only the 6 default built-in attributes found in your database: First Name, Last Name, Organization, Email Primary, Expiration Date, and Member Type.
This dropdown also contains all saved attribute sets found in your database.
5. Once you've selected the attribute set to export, ensure that you:
- Include a name for your export in the Export Name field.
- Decide if you would like to Save this attribute set for future use. This may come in handy if you've selected the Create New or Ad Hoc option.
- Decide if you would like to check off Include profile ID in the export. the profile ID attribute is a unique identifier that's used to differentiate members in your database.
- Decide if you would like to check off include profile notes in the export. These are notes found in the Notes tab of each member's profile.
- Decide if you would like to Include renewal status in the export file. This information confirms if the member is in their renewal period and can renew their membership.
Click EXPORT when you're finished.
What if I can't see the export name field or export button?
If you select the option to Create New or Ad Hoc list of attributes to export, a dropdown list of all attributes in your database displays. This can cover up the Export Name field and EXPORT button on your screen.
To close this dropdown menu, click above the dropdown list of attributes somewhere within the Export Profiles window. For example, click next to the Create a list of attributes to export title. This closes the dropdown window.
