The Calendar tool lets you add events to your organization's calendar. We recommend setting up your event categories and locations before adding a new event.
Creating an event category
Event categories color code events on the calendar. Create as many categories as you like, each with a unique color.
- Go to Community > Calendar.
- Select Manage Categories.
- Select New to add a new category.
- Enter a title for the new category.
- Choose an identifying color. All events added to this category are highlighted in the category's color.
- Select Save.
Adding event locations
Adding a location to an event lets users view location details and a map to that location.
- Select Manage Locations.
- Select New to add a location.
- Enter the details of the new location.
Caution: For the map to show your location, select Find Address above the map after you enter the location details. If you don't, the map doesn't update its displayed location.
- Select Save.
Adding an event
- Select Manage Events, then select the New plus sign.
- Configure the event:
- Event Title: The name of the event (for example, 2020 Annual Meeting).
- Category: The event category. Create multiple categories to color code events on the calendar (for example, weekly meeting or annual conference).
- Start, End, Duration: The start and end date and time of the event. If applicable, select All day event or unspecified time. Set the event's time zone in the dropdown menu—by default, this pulls in from your Account Settings.
- Repeat Type: Sets whether the event repeats, and how often.
- Event Description: The event details area. Include a description of the event, and pictures if applicable.
- Select Location: Where the event takes place. Select a location from your Manage Locations tab. If you aren't using a predefined location, put the event's location in the event description.
- Contact: The event contact person's information.
Caution: If you change an existing event date to a different year through the calendar pop-up, re-select both the month and day after changing the year. If you only change the year and save, the event keeps the previous date. - Select Save.
Note: When an event is created, an iCal file link is automatically made available on the public-facing event details page.
Editing permissions
Event permissions control which groups in the database can view each event.
- Select Permissions.
- Using the checkboxes next to each event's name, edit the permissions for each group.
- Select Save.
