What are organization member types?
Organization member types consist of organizations or companies that have one or more linked profiles attached to the organization profile. Organization profiles are managed by linked profiles that are assigned as key contacts. An organization may have one ore more key contacts.
Key contacts can:
- Pay dues on behalf of the organization.
- Edit and update the organization profile.
- Edit and update other profiles linked to the organization.
- Register other linked profiles from their organization for events.
See our help articles for information on how to setup your default member type settings, and how to add an organization member type.
If you want to grant key contacts the ability to add linked profiles to their organization membership, please reach out to our support team. We can enable this on your behalf. We don't recommend this if member type pricing is based on the number of linked profiles attached to the organization membership. Extra fees, associated with added linked profiles (by key contacts), won't be charged until the next renewal invoice is generated.
How to create a new organization member
Click on the Profile List button in the top right-hand corner of your admin dashboard. Then, click Add an Organization.
On the next screen, select the member type you're adding the member to and fill in the name of the organization. Click Save, then you will be taken to the new member's organization profile.
You can start filling in the organization’s profile information (address, phone, email etc.).
For this organization to receive renewal notifications, you need to fill in the Email address and Expiration Date fields.
How to create linked profiles
This step is for linked profiles that are not currently part of your database.
Click the Linked Profiles tab, then click the Create Linked Profile button.
On the next screen, fill out the linked profile's Username, Full Name and Email, then click Save.
Once you've finished adding all of your linked members, you can designate your key contacts. In the Linked Profiles tab, toggle on the Key Contact button next to each profile you want to designate a key contact.
How to add existing linked profiles
Click the Linked Profiles tab in the organization's profile. Then, click the Add Linked Profiles button.
An organization can only link members that are apart of the linked member type associated with your organization member type. If the member is not in the linked member type that's tied to the organization member type, you cannot link the individual to the organization. Change their member type first, if necessary.
On the following screen, you can tag the members that you want to link to your organization using the check boxes on the left hand side. Then, click the Link x Profiles button.
Navigate back to the Linked Profiles tab and you will see these members in your list. You can designate key contacts as necessary.
Notification emails
For organization member types, the organization is responsible for paying renewal fees. Renewal notification emails will be sent to the email address in the organization’s profile. If you're changing key contacts within the organization, ensure you're updating the organization’s email address as needed.
If you would like to add the key contact's name to your renewal notification email, you need to create a custom attribute and assign it to the organization member type. Then, adjust your profile owner attribute security and insert that data merge field into your renewal notification template.
For additional information on the automated renewal process, including notifications, see the following article.
