Building the form and collecting submissions
Review Panel uses the form builder. Add a Review Panel section to a standalone form or to a conference or event form. This section is where you collect the data that Reviewers and Review Leads see.
Adding the Review Panel section
- Go to Forms > Form List.
- Create a new form, or edit an existing form.
- In the Add Form Elements section, select the Presentation tab.
- Add the Review Panel Section to the form.
- Select Properties on the Review Panel section.
In the properties, enter a name in the Name field. The name displays to submitters who complete the form. Then set the permissions for the groups that can see this section when completing the form. This is usually all groups, including Prospect.
Configuring review settings
Select Edit Settings to open the Review Panel Configurations, where you set these options:
- Review permissions: Add the groups for Reviewers and for Review Leads. These groups determine who can see the submissions.
- Content: Show or hide form fields and submitter names for Reviewers. Review Leads can see submitter names even when Show submitter names is cleared.
- Scoring: Enable scoring and choose a scoring method.
- Commenting: Enable commenting and choose who can comment and view comments.
Scoring methods
Each scoring method works differently:
| Method | What reviewers do | Score calculation |
|---|---|---|
| Pass/Fail | Choose between 2 custom options, such as pass or fail, or accepted or rejected, instead of applying a rating. | Not applicable |
| Stars | Choose between 1 and 5 stars. | Total, Average, or Unique |
| Numeric | Enter a score within the custom range. | Total, Average, or Unique |
Any scoring method supports up to 5 categories. Reviewers give an overall score in addition to individual category scores.
Commenting options
Choose who can comment and who can view comments:
| Option | Who can comment | Who can view comments |
|---|---|---|
| Reviewer, Other Reviewers, and Review Leads | All Reviewers and Review Leads | All Reviewers and Review Leads |
| Reviewer and Review Leads | Reviewers and Review Leads | Review Leads only. Reviewers can’t see other Reviewers’ comments. |
| Review Leads | Review Leads only | Review Leads |
Key notes
- Include in the Review Panel section any form field that you want Reviewers to see.
- Every Review Panel submission has a Submission Category and a Submission Title. The table that follows describes them.
- Include the Name built-in attribute to make sure each submission has a name.
- Use the Review Panel File Upload field to collect attached documents.
These form elements are important in a Review Panel form:
| Element | Key notes |
|---|---|
| Submission Category | Submitters select the topic or category. It appears as a filter for Reviewers and Review Leads. It is included in the section by default. |
| Submission Title | The name of the submission, displayed to Reviewers and Review Leads. |
| Name built-in attribute | Optional. Include it to tie the submitter’s name to the submission, especially when prospects or non-members submit. |
| Review Panel Submission Text | Add as many as you need. Each displays to Reviewers and Review Leads as its own document. |
| Review Panel File Upload | Add as many as you need. Each displays to Reviewers and Review Leads. |
When your form is ready, link to it from your website or emails the same way you link to any other form. Use Menu items or Inserting links into articles, events, and messages.
Enabling your review committee
Reviewers and Review Leads need a menu item as their access point to review submissions. Create a menu item with permissions for Reviewers and, if applicable, a second menu item for Review Leads. A user can hold both roles. Set up a separate menu item for each role and configure the permissions for each.
- Create a menu item.
- Under Other, select Review Panel for Reviewers or Review Lead for Review Leads.
- Set the menu item permissions for the groups in that role.
Reviewers and Review Leads can visit your website to review submissions. Their access depends on the permissions in the Review Panel section and the menu items you add.
Reviewers select a Submission Title to open an individual submission. What reviewers see and do depends on the settings you configured. These examples show each scoring method.
Review Leads see each submission’s average score and the reviewer comments, and can create, apply, and manage labels. Review Leads use labels to build sessions, identify winners or speakers, and help admins prepare for their event or conference.
Viewing review results
When the review process is complete, view the results on the admin side:
- Go to Forms > Form List.
- Select the number in the Submissions column to open the Submission List.
- Select the Review Panel icon. The Review Panel List opens.
The Review Panel List shows the total comments, the average score for each submission, and any labels that Admins or Review Leads applied. Tag submissions and export these files:
| Export | What it includes |
|---|---|
| Entries | Review Panel form fields plus review data: average score, comments, total reviews, and labels |
| Submissions | All form fields and attributes |
| Files | All files uploaded to the Review Panel File Upload fields |
