Use the Benchmark KPI report to review membership KPIs—joins, renewals, and lapses—along with other key membership and database activity, so you can understand the moving parts of your membership.
How to use it
Navigate to Reporting > Membership and select the Benchmark KPIs report. The report shows a table with start and end numbers for a selected date range, plus totals for each data point, broken out by member type. For quick insights on the metrics you care about most, refer to the table on the left side of the screen.
Select from different date ranges in the bar above the report, and edit the member types you're viewing from the dropdown just above the table. To export your results, select Export CSV at the top right.
Understanding the columns
| Column | What it shows |
|---|---|
| Start | Total active members in each member type at the start of the date range. |
| Joins | New joins in the date range, captured from the Join Date in each profile. Because the count always reflects the current Join Date, manually changing a profile's join date changes this report. |
| Renewals | Members who renewed their membership within that member type during the date range. |
| Lapsed | Members within that member type who did not renew during the date range. |
| Rejoined | Members who were in a member type, moved to Prospect, and then moved back into a member type. |
| Graced | Profiles that were in Graced status during the date range. |
| Added to MT | Profiles added to a member type by means other than a brand-new join—for example, someone who renewed into a new member type, a profile created manually by an admin, or a profile moved between member types by an admin. |
| Removed from MT | A member leaving one member type and moving into another. |
| Deleted | Profiles in the member type that were deleted. |
| Restored | Profiles that were in deleted status and have been restored. |
| End | Total active members in each member type at the end of the date range. |
| Net Change | The overall change from your start number to your end number for the date range. |
Additional considerations
This report captures the many changes that happen within your membership over a time frame, but a few items affect the difference between your starting and ending numbers without appearing in a column. Your start and end counts include active profiles only—they don't include lapsed, deceased, or pending members.
For example, a member who is lapsed at the beginning of your range isn't in your start count. If that member renews during the range, they're counted in the Renewals column and appear in your end count. This is worth remembering during time frames where the Joins and Added to MT columns don't seem to add up to your end count—those additional profiles at the end may be accounted for in renewals.
Some manual admin actions also affect the numbers without a dedicated column—for example, an admin moving a profile into a status such as deceased, or moving profiles in and out of pending status. These reflect in your end counts but aren't broken out separately.
