Overview
There are several ways to get an invoice back into a member's hands. Whether you need to send it to their official email on file or a completely different address, follow the steps below.
Method 1: Resending through the Invoice List
This is the best method if you need to send the invoice to a new or additional email address without changing the member's profile.
- Navigate to Financial > Invoices.
- Use the search bar in the top right to search by invoice number or member name.
- Click the checkbox to the left of the invoice number.
- Click the Actions button and select Email Tagged Invoice.
- Select the email on file, or type in a manual email address (this will not overwrite their profile data).
Method 2: Resending through a member's profile
This is the fastest method if you are already looking at a member's record.
- Open the specific member's profile.
- Click the Invoices tab.
- Find the open invoice and click the Resend button appearing under the Actions column.
Method 3: Sending a manual link
If you are writing a personal email to a member and want to include a direct link to their invoice:
- Go to the member's profile and select the Invoices tab.
- Click on the invoice's number under the Invoice ID column to open it.
- From the Action dropdown menu, select Copy Link to Invoice.
- Paste the URL into your manual email or message.
Customizing the email's content
When you resend an invoice using either method 1 or 2, the system uses the New Invoice Notification message found inside your Invoice Templates.
To edit this message:
- Go to Financial > Invoices and click the Invoice Templates icon.
- Hover over the template name and click Edit.
- Look for the EDIT NEW INVOICE EMAIL button to update the text.
Unsure which template to edit?
- Renewals: Check the template assigned under Database > Member Types.
- Forms: Check the Properties section of the Payment field within that specific form.
- Ad-hoc: These use whichever template you manually selected when the invoice was created.
