    Can I rearrange folders (move them to be subfolders other folders?) or once I create them are they set?

    Hi Linda,

    Great question!  Yes, you can rearrange folders after they have been created.  If you click on the parent folder (it's often times the Media folder as that is the top level), tag the folder you wish you move, and click Move in the top right toolbar, then in the pop-up window, select the new parent folder and click Continue.

    The system will prompt you with a warning to check for broken links and documents (in articles) for any of the collateral that you have moved.  This is especially important when moving folders because all of the media in the folder you moved will have a new path.  In other words, you will need to update the links and images in articles for any media in the folder you moved.

    I am just getting used to the new system so bare with me. Is there a way of renaming a media file once it is uploaded?

    Hi Rick,

    No problem at all.  To delete a folder, view the parent folder of the one you wish to delete.  This will allow you to see the folder you wish to delete in the main page of the Media Manager (where you can delete the folder as you would normally delete a file).  The only system required folder, which can't be deleted, is the very top level folder called Media.

    There isn't a way to rename a file once it's uploaded, so your best bet will be to rename the file prior to uploading it.

    I no longer see a list of file types that can be uploaded, and can't find the list anywhere. it should be posted somewhere. Thanks, Richard

    Hi Richard,

    We only restrict .exe and .php files entirely from the Media Manager. We do, however, parse uploaded files and if potentially malicious code is found, the file is rejected.

    Can I set permissions, e.g. members-only access to documents managed by the Media Manager? If so, how? If not, what alternative do you recommend? We would like to have some PDF files available only to paying members.

    Hey Clayton,

    Permissions cannot be set on individual documents. The Media Manager is designed as more of a repository for media that you wish to add to your website rather than an area where end-users will access that media.To create members-only access to PDF files (or any other files in the media manager), you can add the documents to an article using the 'Site Links' button and set the article permissions to only allow members to access this article.

    The site link button doesn't include access to media content.

    Hey JoAnn,

    In the new Content Management System, you will notice five buttons underneath the HTML Editor. The 'Site Links' button allows you to add links to documents in your Media Manager using the 'File' option. The 'Image' button allows you to pull images directly into the article or email that you are editing.

    I've noticed recently when I upload documents (so far only PDFs), they do not retain their filename capitalization, but instead convert to all lowercase.  For example, today I uploaded NAALJNews_February2011.pdf.  The end result was naaljnews_february2011.pdf, which did not happen before, as all of our other newsletters file names retained the original filename capitalization.  I deleted and upload the file a few times and the same thing happened each time.

    We do change the file names to all lowercase. The reasoning here is that file system links in urls differ from web address links in general. A web browser will convert a domain name (WWW.GOOGLE.COM) to all lowercase and resolve when entered into the address area of a browser. With files .pdf, .doc, etc... it is case sensitive. So someone accessing FILE.pdf vs file.pdf would be different.

    It would be great if the  five buttons underneath the HTML Editor also were viable when you hit the button that enlarges the viewing area.

    How come my picture uploads, but I do not see it when I go to a webpage (an event) and try to INSERT/EDIT IMAGE?  It is not in the list !

    I found that too. But, I also found if I try again- go back to the media manager, check to see if it's there, then go back to the page a second time, I can then see it in the list after clicking INSERT.

    Dear Robert,

    We are working on some things that will help clear this up. For now, please make sure you are using the 'Image' button located at the bottom of the editor for inserting images. This button will list out all of your images to select and insert.

    I'm trying to insert word documents that I have uploaded from my computer.  How do I insert them into the correct area?  I find an insert/edit image and an insert/edit anchor.  But no insert documents.

    I can upload a zip file to the Media manager but cannot link to it using site links > Files.  The zip file does not appear in the list of items to select when I try to create the link in the article.

    @Angela - When you are inserting Site Links, you can use the Site Links button beneath the editor.  This will open up a modal window where you can select the file to insert.

    @Jani - Well that's not right.  I've opened up a ticket for you.  In the meantime, the work-around is to copy the file's URL from the media manager and insert the link through the chain link icon in the editor, instead of the Site Links button.

    Same problem as Jani has described (Sep 20, 2011) but with an excel file that has been uploaded to the media manager.

    Ken, I only see one excel file in your media manager and I was able to inert it using Site Links.  If you're still having problems, please send us the details in a ticket so we investigate.

    Is there a way to re-name files? I noticed a lot of our files have spaces or odd characters in the names, and I'd like to remove those before linking them.

    Hi Gwen - There is not currently a way to rename files that are already in your Media Manager; instead you can download > rename > re-upload them (and delete the old/original if you'd like).

    Is there anyway I can tell if a document or image is NOT being used on the site somewhere?  I've inherited this account and trying to clean it up but do not want to delete a document or image that is being used in a published place.  Thanks.

    Dianne - There is not currently a way of seeing which images/documents are not being used in the site.

    I'm having trouble with upload. I select the folder, click upload, navigate to the document, select it and Open. The window indicates the file is loading and then complete, But it doesn't show in the folder. Is it being rejected?
