    When do I use a field and when do I use an attribute?

    I know that a field is stored in the forms themselves and accessed through the form queries and reports, versus the attributes are fields in the database and are connected to members.  

    But knowing that still leaves me with questions about when to use which type.  For instance, the most basic and useful form that a new user has to build is a 'Contact Us" form.  Should this be stored in the database or not?  I think that it's a field for the Basic Contact, but how do I connect this to the Basic Contact?  What if the Contact Us form is being used by a user that is logged in, wouldn't I want to know that it's that user contacting me and not ask for an email address if I already know it?

    Chris - In most cases you can use attributes on your forms.  The only times you wouldn't would be when you don't want the form information to be linked to the database (if a user adds/changes information on a form, it also updates it in their profile).  For your "Contact Us" form, I'd recommend using attributes and requiring login.  This will create a basic contact profile for those users not already in your database, and it will prevent existing members from having to enter their information again (i.e. email address, name, etc.).

    I created a form and wanted to add a field for email. I tried clicking it and nothing happened. aka i could not drag it onto the form. Am I doing something wrong?

    Alexandra - You should be able to click the field and hold the mouse button down to drag.  If you experience any issues please contact our Help Team.

    Is there any way to get a list of the fields and an explanation of each and an example of what each field actually does?  I don't make forms frequently enough to remember differences in selection set, radio and check box and then I always get  perplexed when adding a dollar value.    It would be nice to have a reference quick guide.  Thanks Camille

    i created a form for a conference and now i have another attribute that i want to collect data on so that when i export all the attendees i will see that attribute field. If I add it to the form now will that information appear for people who already registered (assuming that i have that attribute info in my database) or only for new users? I'm trying to figure out how to automate this process since it's additional information i need and dont want to have to manually enter it. Thank you.

    @Camille - I apologize for the long response time. This article has now been updated with an explanation of each field type, as well as some examples of what each field does. I hope this helps!

    @Alexandra - The attribute won't display retroactively for the first members who took the form. However, if you have added the attribute to the form now, once the form is submitted, the attribute information will have been pre-populated (for members) and saved in receipts.

    On a membership application, if I add a Date field, will it fill with today's date/the submit date of the application? We need a way to tie an attribute of "member since" to the date of application.

    Hi Janee - You would first want to set up an expiration date type attribute with an expiration period of 1 day (time based). You could do this by copying your existing expiration date attribute, then altering it from there. 

    Next, drop this field onto your form and apply the expiration setting of one day to it. See this article for details.

    This way, when the form is submitted, that date attribute will be populated with one date after the form has been submitted. If you have additional questions, please feel free to contact our Help Team and they'll be glad to assist.

    I am simply unable to drag and drop a field. I go through the motions but nothing happens. No dotted lines appear on the form,nothing. What am I doing wrong? I am in with full admin rights.

    Hi Timothy - Typically when we've seen this happen, it's while using Internet Explorer 9. We are working on increasing our compatibility with the newest version of IE, but this is one issue that can often be resolved by using Internet Explorer 7 or 8 (try compatibility mode), or using a different browser, like Firefox.     Back to my join date question. Is there a way to have this new date I've put on the form populate with "today's date" using the actual date the form is filled out?

    Janee - The closest date we can have auto-generated is the date after the form is submitted. The only other option is to have members manually plug in today's date, but clients I've worked with almost always prefer to do it the auto-generated way for ease of management.

    I have linked the field to attribute on the form, when the user submit the information. I am not able to find the user profile which should have been created for it. What I am missing here?

    Julie - It sounds like the form may not be requiring login, which is the action that creates the profile. To adjust that setting, navigate to Forms > Form List > Edit the Form > Login Options. Choose Option 1, login is required. Then make sure that near the bottom of the page, you show the 'existing user' section (for members to login in through), and/or the new user section (for non-member to enter their email address).     How do I create a hidden attribute to be seen in a members profile only by the admin staff? We would like to add race and gender to the profile but do not want the member to see it or have it show up in the members profile in the member center

    Kelly - I would suggest copying an existing attribute to create the new one, then altering Attribute Security, which controls what the profile owner and other members can see about a particular profile. To start, navigate to Database > Attribute Management and copy a simple selection set attribute. Edit the selections and rename it, then navigate to Database > Attribute Management > Attribute Security. You can configure the security for profile owners on the left (you'll want there to be a red "NO" symbol next to the new attribute name in the far lefthand column). You can also configure what other users see about members on the right (you'll want there to be a red "NO" symbol next to the new attribute name in the righthand columns, except for the Admin column).

    I know this is a bit tedious, so if you have questions, please don't hesitate to call the Help Team so that they can walk you through it!

    there's no wysiwyg editor on the form page, so can I set fonts, font sizes, italics, etc?

    Brett - Check out my new video on styling text in forms here. As a best practice, our online forms are very dynamic so you should avoid styling every label on your form. Instead, keep the HTML more basic using bold, italics, underlines, and the occasional color for emphasis. I hope that helps!

    When I want a confirmation email to pick up something from the form, like First Name, what's the difference between ~~First Name~~ and ##First Name##? I've seen both codes in confirmations set up for us. Is the ~ for fields and the # for attributes, or vice-versa?

    I think I figured out the answer to my own question: The ## is for User Attributes, and the ~~ is for receipt data, which would be material from the form. Right?

    @Sandi - you'll want to use the Site Links tool to link to a document or form. This video goes into detail on using that tool, as does this article.

    @Neil - you're exactly right, the ## symbols indicate Attribute data, and the ~~ symbols indicate receipt data, pulling straight from the form. We typically recommend merging in receipt data to the confirmation email, as it tends to be the most current and relevant. The items you can merge in to the confirmation email that show up at the bottom of the receipt data list (ex. total amount due, receipt date, receipt ID, etc.) will show ~~#.

    How do I create a field where the user must select two items from a list of options?  Radio only allows one selection, check box allows the user to select all options?

    Hi Julia,

    There isn't a field that requires you make two selections. Instead, it will either allow you to choose only one, or all of them.

    How exactly does the file attachment button work? We have this field in a form so that grant applicants can attach supporting documentation (Word, Excel, .jpegs, etc.). But it doesn't work. When you click the button in the active form, nothing happens.
